Review and approve minutes
ācta is in beta. This guide will change as the product changes.
After processing, a session holds a draft. You check the draft, correct it, and approve it. Approval seals the content. After that, only a change request can alter it.
Session tabs
A session has these tabs.
- Summary: a short summary of the meeting.
- Minutes: the full minutes.
- Transcript: the text of the recording.
- Records: the decisions, actions, and other records that ācta extracted.
- Participants: the people in the meeting.
- Document: the PDF, its hashes, and its integrity check.
- Distributions: the history of who received the minutes.
- Change Requests: the changes that recipients suggest.
The minutes PDF uses the branding and PDF layout of the workspace. The page Set up your account explains how to set them.
Edit before approval
While the document is a draft, you can edit the summary and the minutes in the editor. You can edit or delete each record. A record has the fields Content, Owner, Email, Due Date, and Priority. You can also edit the participants.
To check the PDF first, open the Document tab and select Preview PDF.
Your draft saves automatically
You do not need to approve a document to keep your edits. ācta saves the summary and the minutes a moment after you stop typing, and it saves each change to a record at once. The draft stays a draft until you approve it, so you can leave and continue later.
The editor shows the state of your edits.
- Saved: ācta has your latest edits.
- Unsaved changes: ācta saves them in a moment.
- Saving...: the save is in progress.
- Save failed: ācta could not save, for example because the connection dropped or your sign-in ended.
Note
Before you close the tab
Wait for Saved before you close the tab or the browser. If you see Save failed, keep the page open, check your connection, and edit the text again to start a new save.
Approve and seal

Check the draft before you approve
ācta uses AI to draft the transcript, the summary, the minutes, and the records. A draft can contain errors. It can miss a point, name the wrong speaker, or state a decision incorrectly. Read the draft and correct it before you approve. The person who approves is responsible for the content, and the seal protects the content exactly as it was approved.
- When processing is Complete, select Approve Minutes.
- Read the confirmation window.
- Select Approve.
ācta then computes a SHA-256 hash of the content. It locks the summary, the minutes, and the records, and it generates the PDF. The Document tab shows the hashes under Integrity Verification (SHA-256).
Note
Approval is final
Approval cannot be undone. Check the draft before you select Approve.
Change requests
After approval, the content changes only through a change request. A recipient submits one from the document link with Suggest a Change. The recipient picks a section, enters the proposed text, and can add a reason.
A workspace user reviews each request on the Change Requests tab. Select Approve to accept it. Select Deny to refuse it. A denial needs a reason.
An approved request updates the text and computes a new hash. ācta also creates a new version of the document.
