Run an audit

ācta is in beta. This guide will change as the product changes.

An audit gives an external reviewer, such as an accountant, a regulator, or a board member, time-limited access to your approved minutes. The auditor does not need an ācta account. They open a private link, check the documents in scope, and record a pass or fail result.

Before you start

  • Any member of a workspace can create an audit of that workspace.
  • Only the organization owner can create an audit that covers every workspace in the organization. The app calls this scope Entire team.
  • Auditors see approved minutes only. Drafts are never in scope.

Create the audit

The Create External Audit wizard has five steps. Select Next to move forward and Back to change an earlier step.

  1. In the sidebar, open Audits.
  2. Select Create Audit.
  3. In Auditor Information, enter the auditor's name.
  4. Enter the auditor's email address.
  5. In Audit Scope, choose This workspace only or Entire team.
  6. Optional: clear All meetings.
  7. Optional: select the specific meetings in scope.
  8. Optional: set a date range with From and To.
  9. Under Document Types, keep Minutes selected.
  10. In Permissions, choose what the auditor can do.
  11. In Settings, choose a Link Expiry of 3, 7, 14, or 30 days.
  12. In Review & Generate, check the summary.
  13. Select Generate Link.

The Permissions step offers three levels.

  • Browse, Verify & Download lets the auditor see documents, verify integrity, and download PDFs.
  • Browse & Verify lets the auditor see documents and verify integrity, but not download them, and it is the default.
  • Verify Only hides the document list, so the auditor can verify only by uploading a PDF or pasting a hash.

Limitation

Auditors receive approved minutes only. They do not receive transcripts or audio.

When you generate the link, ācta sends the auditor an invitation email that contains it. The wizard also shows the link. Select Copy if you want to send it through another channel.

Treat the link as a key

Anyone who has the link can use it until it expires or you revoke it. Send it only to the auditor.

Manage audits

The Audits page lists every audit in tabs: Active, Completed, Archived, Expired, and Revoked. Select an audit to see its scope configuration and an activity log of what the auditor did.

  • Revoke ends access immediately. It is available while the audit is active. For an audit of the whole organization, only the organization owner can revoke.
  • Export Report downloads the audit configuration, the activity log, and any certificates as a JSON file.
  • Archive moves a completed audit out of the Completed tab. For an audit of the whole organization, only the organization owner can archive.

Limitation

You cannot extend an audit link after you create it. To give more time, create a new audit.

Offline audit package

ācta plans an offline package of an audit's documents for auditors who work without a connection.

What the auditor sees

The link opens a dedicated auditor page. If the audit allows browsing, the auditor sees Available Documents, with search and date filters. In Verify Document, the auditor drops a PDF or pastes a content hash. ācta reports whether the document matches a record in scope and shows its chain of custody. The auditor can then select Download Certificate.

  1. When the review is done, the auditor selects Complete Audit.
  2. The auditor chooses Pass or Fail.
  3. The auditor can add notes.
  4. The auditor submits the result.

The result, the completion date, and the notes then appear on the audit's detail page under Completion.

The result belongs to the auditor

ācta gives the auditor access and the tools to check your documents. The pass or fail result is the conclusion of the auditor. ācta does not audit your records, and it does not confirm or endorse the result.
