Set up your account

ācta is in beta. This guide will change as the product changes.

This page covers everything you do before your first meeting. You sign up, finish a short onboarding, and invite the members of your organization. You can then set up a workspace with your own branding.

Sign up and beta access

You create your account on the sign-up page. Access to ācta depends on beta approval. If you do not have access yet, ācta shows a page titled You're on the list. The page tells you that ācta will contact you when your account is ready.

Complete onboarding

The first time you sign in, a short wizard collects the details that ācta needs to create your organization.

  1. If ācta asks you to Confirm your details, enter your first name.
  2. Enter your last name.
  3. In Organization, enter your organization name.
  4. Choose an organization type.
  5. In Your Role, choose your role.
  6. Choose your primary use case.
  7. In Usage, choose how many meetings you expect each month.
  8. Choose how long your meetings run.
  9. Finish the wizard.

When you finish, ācta creates your organization and a first workspace named General. The Confirm your details step appears only when your account has no first name or no last name.

Workspaces

A workspace holds meetings and their records. Use the workspace switcher in the app header to move between workspaces. To add one, open the switcher and select Create Workspace.

Workspace Settings has these sections: General, Distribution, Access Management, Branding, and PDF layout. In the sidebar, open Settings and select Workspace to reach them.

Branding and PDF layout

In Workspace Settings, the Branding section sets the logo, the company name, and the brand colour. The logo is a PNG or JPEG file of up to 1 MB. The company name has up to 100 characters. These items appear in the header of the minutes PDF.

The PDF layout section sets the default layout for minutes PDFs in the workspace. The layouts are Standard, Corporate, Minimal, Board Minutes, and Legal. The option Print signature lines on Board Minutes adds signature lines to the Board Minutes layout only.

A meeting can choose its own layout on the meeting page. Only an admin or owner can change branding and layouts. A PDF that ācta already generated at approval does not change when you change branding or layouts.

Invite members

  1. In the sidebar, open Settings.
  2. Select Team.
  3. Select Invite Member.
  4. Enter the person's email address.
  5. Choose a role.
  6. Select Send Invite.

Only an admin or owner can invite members. The Team Settings page lists every member.

Limitation

Invites need an existing account

An invite works only for a person who already has an ācta account. The person must sign up first. ācta does not send an invitation email, so tell the person yourself. The same rule applies to Grant Access in Workspace Settings.

Roles

A member of your organization has one of four roles: viewer, member, admin, or owner. The invite form offers Viewer, Member, and Admin. The owner is the person who created the organization.

  • Admins and owners can invite members, change roles, and remove members.
  • Admins and owners can manage workspaces, workspace access, branding, and PDF layouts.
  • Only the owner can edit or remove the organization.
  • Only the owner can create an audit that covers the whole organization.
  • Any user with access to a workspace can approve its minutes.

Processing hours and billing

ācta measures processing time in hours. During the free trial, the dashboard shows a Free trial banner with the hours that remain.

When the hours run out, recording still works and ācta stores the audio. Processing is held until more hours are available. The session shows the status Processing held.

Need more hours during the beta?

If you are in the beta and you need more processing hours, send an email to support@actaminutes.com. ācta holds your recordings until the hours are available, so you lose nothing while you wait.

The Billing page, under Settings, shows the plan and its status. Manage Billing opens the billing portal. There you can update the payment method and see invoices.
